Create and send a campaign to your seller

Updated 3 min read

A campaign is the property's marketing plan: the services you're proposing, who provides each one, and what each costs. You build it as a draft, then send it to the seller, who agrees to it and pays.

Part 1: Create the campaign

The New campaign panel, filled in. Marker 1 is on the property address, 2 on the seller's Name, 3 on the seller's Email, 4 on Template and 5 on Create campaign.
Open full size: The New campaign panel, filled in. Marker 1 is on the property address, 2 on the seller's Name, 3 on the seller's Email, 4 on Template and 5 on Create campaign. (opens in a new tab)
  1. Select Campaigns in the sidebar, then New campaign. The New campaign panel opens.
  2. Start typing the property address (marker 1) and choose it from the list.
  3. Type the seller's Name (marker 2) and Email (marker 3). Check the email carefully: the payment link goes only to this address.
  4. Under Template (marker 4), keep Custom to add items yourself, or choose one of your agency's templates to start with its items (see Campaign templates).
  5. Select Create campaign (marker 5). The campaign opens with the status Draft.

A campaign has one seller and one email address. If the property has more than one owner, agree with the seller who receives the link; any of them can approve using it.

Part 2: Add the items

The Add new item panel on a draft campaign, filled in. Marker 1 is on Type, 2 on Description, 3 on the supplier, 4 on Amount inc. GST and 5 on Add item.
Open full size: The Add new item panel on a draft campaign, filled in. Marker 1 is on Type, 2 on Description, 3 on the supplier, 4 on Amount inc. GST and 5 on Add item. (opens in a new tab)
  1. Select Add Item below the items table. The Add new item panel opens.
  2. Choose the Type of service (marker 1) and describe it in Description (marker 2). The seller sees the description.
  3. Choose the supplier (marker 3). Agency Suppliers are the suppliers linked to your agency; All Suppliers are others in the VPA directory. If a supplier is missing, see Add a supplier.
  4. Enter the amount including GST (marker 4) and select Add item (marker 5). The item appears in the table as Held.
  5. Repeat for each service.

VPA Connect adds its Platform Fee line ($45) automatically when you add the first item. Advertising on property portals such as realestate.com.au or Domain isn't a VPA Connect item: your agency pays the portal directly.

While the campaign is a draft you can select any item to edit or delete it.

Part 3: Send it to the seller

The top of a draft campaign. Marker 1 is on the Draft status, 2 on the seller's name and email with its edit pencil, and 3 on Send Marketing Campaign to Seller.
Open full size: The top of a draft campaign. Marker 1 is on the Draft status, 2 on the seller's name and email with its edit pencil, and 3 on Send Marketing Campaign to Seller. (opens in a new tab)
  1. Check the status says Draft (marker 1) and the seller's name and email are right (marker 2). Use the pencil to correct them.
  2. Select Send Marketing Campaign to Seller (marker 3). An "Invoice sent successfully" message appears and the status changes to Pending.

The button is greyed out until the campaign has at least one item, and while your agency has no active subscription.

What the seller receives

The seller is emailed a link to the campaign's payment page. There they read the marketing proposal, agree to it and choose how to pay: card, bank transfer or, for larger campaigns, Pay Later (see Explaining payment options to your seller). The link works for 48 hours; after that the seller can request a new one from the page, or you can resend it (see My seller didn't get the email).

You can copy the same link with Copy Seller Campaign Link to send it yourself.

Good to know

  • Sending uses one of your plan's campaigns. Revisions and resent links don't. If your agency has reached its limit, an Admin or the Director is asked to pay for an extra campaign or upgrade (see Subscription and billing).
  • Check the seller's email before they start Pay Later. Once the seller starts a Pay Later application, Campaign Flow can't change their email address.
  • Need to change something after sending? See Changing a campaign after sending.
  • Changed your mind before sending? A draft can be deleted from the campaign list (see The campaign list).
