Invite staff, change roles, grant Accounts, and remove or reactivate staff

Updated 3 min read

Admins and the Director manage the agency's staff from the Agency staff table on their account page. To open it, select your name at the top of the sidebar and scroll to Agency staff. For what each role can do, see Roles and permissions.

Part 1: Invite someone

The Invite new user panel, filled in. Marker 1 is on First Name, 2 on Email, 3 on the Admin switch, 4 on the Accounts switch (on) and 5 on Send invite.
Open full size: The Invite new user panel, filled in. Marker 1 is on First Name, 2 on Email, 3 on the Admin switch, 4 on the Accounts switch (on) and 5 on Send invite. (opens in a new tab)
  1. Select Invite new user. The Invite new user panel opens.
  2. Type their First Name (marker 1) and Last Name exactly as on their ID, and their work Email (marker 2).
  3. Choose their access. Leave every switch off for a Member. Turn on Admin (marker 3) for an Admin, or Accounts (marker 4) for a Member who will release supplier payments.
  4. Select Send invite (marker 5). An "Invitation Sent" message appears and they're listed with Invitation pending.

What they do next: they get an email inviting them to join VPA Connect. The link opens a short sign-up: accept the platform terms, confirm their name and email, and enter the 6-digit code emailed to them. Then they're in, and can see all of the agency's campaigns. The link works for 30 days.

Inviting a Director (Directors only): turn on Director. They will need to verify their identity with ConnectID through their bank, and for a company they must be a current director on its ASIC record. A Director invitation can't be edited or resent from the table.

Part 2: Resend, correct or cancel an invitation

A pending invitation in the staff table. Marker 1 is on Invitation pending, and marker 2 on the row's menu, open on Resend invitation, Edit details and Cancel invitation.
Open full size: A pending invitation in the staff table. Marker 1 is on Invitation pending, and marker 2 on the row's menu, open on Resend invitation, Edit details and Cancel invitation. (opens in a new tab)
  1. Find the person in the table. Their row says Invitation pending (marker 1), or Expired: resend to renew after 30 days.
  2. Select … at the end of the row. The menu opens (marker 2).
  3. Choose what to do:
    • Resend invitation emails it again. You can correct the name or email first. A message confirms "Invitation sent again".
    • Edit details saves a corrected name or email. Changing the email sends the invitation to the new address; changing only the name sends nothing.
    • Cancel invitation, then Cancel invitation again to confirm. The link stops working and the row is removed. You can invite them again later.

Part 3: Change someone's role

Use the switches in the staff table (see the screenshot in Roles and permissions).

  1. To make a Member an Admin, turn on their Admin switch. "Agent made admin" appears. Turn it off to make them a Member again.
  2. To let a Member release supplier payments, turn on their Accounts switch. "Accounts role added." appears. Ask them to reload the page.

You can't change your own Admin switch, and the agency's last Admin or Director can't lose admin access. A Director's switches are locked: to stop someone being a Director, a Director selects Demote on their row. They then stay on as an Admin, or keep the staff role they already had.

Part 4: Remove someone

The Remove dialog for a member who is listing agent on 13 active campaigns. Marker 1 is on the campaign list, 2 on New listing agent, and 3 on Remove, which stays greyed out until a new agent is chosen.

  1. Select Remove on their row. A confirmation opens.
  2. If they're the listing agent on campaigns still in progress, the dialog lists them (marker 1). Choose who takes them over under New listing agent (marker 2).
  3. Select Remove (marker 3). They lose access straight away, and their campaigns move to the agent you chose. Settled campaigns keep their original listing agent.

Removing someone doesn't delete their login or affect any other agency they belong to. Only a Director can remove a Director, and nobody can remove themselves.

Part 5: Bring someone back

Removed staff are listed under Removed users below the table.

  1. Select Reactivate next to their name, then Reactivate to confirm. They get back access in the role they had.
  2. Turn Accounts on again if they need it: it isn't restored automatically.

A removed Director shows Re-invite as a director instead: invite them again with Director turned on (Part 1).
