Changing a campaign after sending
Updated 3 min read
What you can change depends on the campaign's status. Before the seller pays, you edit the proposal and send a revision. After they pay, the proposal is locked, and each change goes to the seller to approve.
| You want to | Draft | Pending | Paid or Partially paid | Settled |
|---|---|---|---|---|
| Edit or delete an item | Yes | Yes, then send a revision | No: cancel it or close it out instead | No |
| Add an item | Yes | Yes, then send a revision | Yes, the seller approves and pays for it | No |
| Change the property address or seller details | Yes | Yes | No | No |
| Change an item's supplier | Edit the item | Edit the item | Request a supplier swap | No |
| Ask for more money for an item | Edit the item | Edit the item | Request additional funding | No |
| Cancel an item and keep its money as refund credit | Not needed: delete it | Not needed: delete it | Yes, if the supplier hasn't been paid | No |
| Delete the whole campaign | Yes, from the campaign list | No | No | No |
There's no "cancel campaign". A sent campaign's items can be cancelled one by one.
Before the seller pays (Draft and Pending)

- Select the item. Its panel shows Edit item (marker 1) and Delete item (marker 2). Use Add Item below the table for a new service.
- On a Pending campaign, each change to the items is saved but the seller doesn't see it yet. (A new seller email address is different: it sends the seller a fresh link straight away; see My seller didn't get the email.)

- When you've made all your changes, select Send Revision to Seller (marker 1). "Revision sent successfully" appears. The seller is emailed a new link and the updated proposal is marked as revised (see Version history).
If the seller had already agreed to the earlier version, you're asked to confirm: they'll need to approve the new version before they can pay.
After the seller pays (Paid and Partially paid)
The page shows "The proposal is locked". Select an item to see what you can do with it:

- Request supplier swap (marker 1): give the job to another supplier. See Request a supplier swap.
- Request additional funding (marker 2): the job will cost more. See Request additional funding.
- Cancel item & return funds to refund credit (marker 3): the service isn't needed. Only while nothing has been paid to the supplier. See Cancel an item, close it out, or refund credit to the seller.
- Close & return remainder to refund credit: on a partly paid item, the job is finished for less than its budget.
To add a service, select Add Item, fill it in and select Choose funding. VPA Connect shows how it will be paid for: from the campaign's refund credit first, then by the seller. Select Send for seller approval (or Send approval request for $… if the seller has to pay). "Sent to the seller" appears and the item shows Awaiting seller approval until the seller approves and pays their share.
Until the seller responds, you can withdraw the change from the item's panel (Withdraw request).
After the campaign is settled
Nothing can be added or changed. Add Item is greyed out. If more work is needed, create a new campaign.
Good to know
- Check with the seller before changing a Pending campaign. If they've chosen to pay by bank transfer, VPA Connect doesn't currently show you that, even once part of the money has arrived: the campaign stays Pending with Payments received at $0.00, and editing stays open. A change at that point means the seller's transfer no longer matches. See The seller says they've paid.
- Pay Later locks the proposal once the seller's finance is approved and waiting for their signature (see Pay Later from the agent's side).
