Approving extra items, supplier swaps and additional funding
Updated 3 min read
After you've paid, your agent may propose a change to your campaign. Nothing changes, and you pay nothing more, until you approve it. VPA Connect emails you when a change is waiting. There are three kinds:
- New Item: an extra job, such as a building and pest inspection.
- Supplier Changed: a different supplier for a job, sometimes at a different price.
- Funding Request: extra money for a job already in the campaign.

Open the link in the email. Each change waiting for you shows its kind in the Status column (markers 1 to 3). The total at the top of the page includes changes still waiting for you.
Part 1: Review and decide on one change

- Select the change's status, or tap its row on a phone. A review panel opens. Read What's changing and the agent's note (marker 1).
- Choose how to pay under How would you like to pay? (marker 2): Pay Now by Card or Pay Now by EFT. If you used Pay Later for your campaign, you may also be offered Campaign Flow finance at your existing rate.
- Check the Funding breakdown (marker 3). If your campaign has refund credit, it's used first, and You'll pay shows what's left to pay.
- Select Approve & pay (marker 5). Card opens Stripe's payment page; bank transfer shows the account details in the panel. If You'll pay is $0.00, the button says Approve, and an Approved message appears: "The campaign team has been notified."
- Or select Reject (marker 4). The panel says Rejection recorded: "We've told your agent. Nothing on your campaign has changed."

For a change of supplier, the panel shows the Current supplier and amount (marker 1) and the Proposed ones (marker 2). You pay only the difference.
Part 2: Decide on several changes at once

- Tick the box beside each change you want to decide on (marker 1). A bar appears at the bottom of the page with the number selected (marker 2).
- Select Approve or Reject on the bar. The review panel opens with every change you selected and one total to pay.
Common questions
Why am I being asked to approve more? Your agent wants to change the marketing after it was paid for: an extra job, a different supplier, or more money for a job. Ask your agent why if the note doesn't say.
Do I pay again? Only the amount under You'll pay, and only if you approve. Refund credit from cancelled or cheaper items is used first. See Refund credit explained.
What does reject do? Nothing on your campaign changes, and your agent is told. Your agent may propose something different.
Why is Pay Now by Card greyed out? The amount you'd pay now is more than $5,000. The card option says "Not available for this amount", and the line below it gives the limit. Choose bank transfer, or Pay Later if it's offered.
"Approval failed" appears when I approve. See Card declined or checkout problems. If it keeps happening, contact your agent.
The page says I owe an outstanding balance first. See "Outstanding balance".
