Campaign and item statuses explained
Updated 3 min read
Every campaign has one status, shown in the Status column of the campaign list. Every item in a campaign (each supplier's job) has its own status too. This page says what each one means, what happens next, and who acts.
Campaign statuses

| Status | What it means | What happens next | Who acts |
|---|---|---|---|
| Draft | The agency is still building the campaign. The seller hasn't seen it. | The agent sends it to the seller. | Agency |
| Pending | The proposal has been sent and the seller hasn't finished paying. This includes a bank transfer that hasn't arrived yet. | The seller agrees, chooses how to pay and pays. | Seller |
| Awaiting transfer | Seen only on older campaigns: the seller chose bank transfer and the money hasn't arrived. Newer campaigns stay Pending while a transfer is on its way. | The transfer arrives and the campaign becomes Paid. | Seller |
| Partially paid | The seller has paid part of the campaign and an amount is still owed. | The seller pays the rest. | Seller |
| Paid | The campaign is paid and the money is held. Suppliers can now be paid as they finish. | Suppliers ask to be paid; the agency releases each payment. | Supplier, then agency |
| Settled | The campaign is finished. Leftover refund credit, if any, is on its way back to the seller. | Nothing. New items can't be added. | No one |
In the screenshot, marker 1 is a Draft campaign, 2 is Pending, 3 is Paid and 4 is Settled.
Item statuses
Agency staff see these on the campaign page. Suppliers see them on the Outstanding and Completed pages.

| Status | What it means | Who acts next |
|---|---|---|
| Held (marker 1) | The seller's money for this item is held. The supplier hasn't asked to be paid yet. | Supplier, when the work is done |
| Sent | The supplier has asked to be paid. The request is waiting for the agency. | Agency (Accounts, Admin or Director) |
| Payment pending | The agency has released the payment and Stripe is moving it. | No one; Stripe |
| Partially paid (marker 2) | Part of the item has been paid out, and more can still be requested. | Supplier |
| Paid | The item is fully paid to the supplier. | No one |
| Payment failed | Stripe couldn't complete the payment to the supplier. | Agency, with the supplier |
| Awaiting seller approval | A change to this item (a new supplier, extra funding or a new item) is waiting for the seller to approve. | Seller |
| Awaiting seller payment (marker 3) | Suppliers see this on extra funding they asked for: the seller hasn't approved or paid it yet. | Seller |
| Funding pending / Supplier swap pending | Extra funding or a change of supplier is being processed. | Seller or agency |
| Rejected | The agency rejected the supplier's latest payment request, with a reason the supplier can see. | Supplier, who can send a new request |
| Cancelled | The agency cancelled the item. Its money went to refund credit. | No one |
| Closed | The item was finished for less than its budget. The supplier keeps what was paid and the rest went to refund credit. | No one |
What the seller sees
Sellers don't see a status list. Their payment page changes instead:
- Before paying: the proposal to agree to and approve, then the payment options.
- After choosing bank transfer: a Waiting for your bank transfer banner until the money arrives (usually 1 to 3 business days).
- After paying: the page shows the campaign as PAID, with its items.
- When the agent proposes a change: the item shows New Item, Supplier Changed or Funding Request to review.
- When the agency completes the campaign: a CAMPAIGN COMPLETE bar, a campaign summary of where the money went, and the seller's tax invoices (see Payment received).
Good to know
- The campaign list flags payment requests waiting for release, but it doesn't flag a campaign that is waiting on the seller to pay more. Open the campaign to check.
